Before booking a tour and related services through The Switzerland Experience, please take a moment to read the following:
These Terms & Conditions pertain to all services we offer and comply fully with Swiss tour operator requirements. These Terms & Conditions will also apply to any final booking Agreement and other relevant contracts transacted online or in person.
1. Passport and Visa / Customs regulations
Every The Switzerland Experience traveller must have a valid passport. Visas are required for a continuous stay of more than three months and for citizens of specific countries. For more information, please contact a Swiss consulate.
2. Bookings and Formal Agreement
You may make your reservations and payment for The Switzerland Experience tours through your travel agent, or directly to The Switzerland Experience via our contact page, email or by phone.
All parties involved will receive a booking confirmation form, including signed confirmations of tour details, plus any further relevant information and terms. In signing the booking confirmation form, you acknowledge and accept these Terms & Conditions, all fees, and any further terms relevant to your tour.
All fees include VAT, a Value Added Tax of 8% on most Swiss goods and services.
The Switzerland Experience bases tour fees on the number of travellers involved. Tours will be billed as a group price, not as a per-individual price.
To guarantee a tour, a deposit is required within seven days of the booking confirmation signature. Full payment is due six weeks prior to arrival. The Switzerland Experience does not accept payment via credit cards. Refunds are managed via a direct bank transfer from the The Switzerland Experience account to your designated bank account.
3. Description of Services
The Switzerland Experience makes every effort to provide the most current and accurate description of services offered on our website and all other promotional materials. The Switzerland Experience is not liable, however, for any information that is inadvertently incorrect, incomplete, or out of date.
4. Tour program / Itinerary
The Switzerland Experience individually customizes every itinerary, and your safety and well-being come first. In the event of natural catastrophes and unavoidable circumstances that might interrupt or restrict the expected itinerary, The Switzerland Experience reserves the right to alter or cancel tour obligations. Such changes will be communicated as quickly as possible, and we will make every effort to provide equivalent substitutes, Refunds, if applicable, will be issued in the currency of the original payment for the cancelled or altered booking involved.
In the rare instance a hotel, trip, or event is no longer available, The Switzerland Experience will assist with alternative arrangements, or we will cancel your reservation and manage refunds as applicable.
5. Special Requests
If you have any special requests for your The Switzerland Experience tour, we invite you to submit them, in detail, when you book your tour by the booking confirmation form. The Switzerland Experience will convey these requests to all relevant parties (lodging, restaurants, external partners and providers), but we cannot guarantee that complete fulfilment is always possible. If a service or amenity is unavailable, The Switzerland Experience is not responsible for failure to fulfil a special request. Cancellations and possible refunds in such an event will be treated on a case-by-case basis.
6. Charges not included in tour package
If additional charges apply during your tour, you are responsible for payment directly to the service provider. Additional charges may include hotel laundry service, room service, beauty or medical treatments, telephone or mini-bar charges, beverages and snacks separate from the tour, and other expenses not already covered by The Switzerland Experience. Activities you book independently from a The Switzerland Experience tour are your responsibility in terms of both direct payment and any other issues that may arise with the service provider.
7. Cancellation by customer
All cancellations must be made via email or post and are not valid until The Switzerland Experience issues a confirmation.
Your deposit fee (please see 2 above) covers communication, administrative, and external provider expenses and will not be refunded in the event of cancellation.
Full refund (minus deposit) is allowed for cancellations made 60 days or more prior to your specified departure date.
Refund of 80% (minus deposit) is allowed for cancellations 25-59 days prior to your departure date.
Refund of 50% (minus deposit) is allowed for cancellations 10-24 days prior to your departure date.
No refund is due for cancellation made 10 days or less prior to departure date.
No refund is due for a ‘no show’ (failure to arrive on time at the designated departure point)
The Switzerland Experience’s tour rates are based in part on the group size (please see 2 above). If one or more members of the tour group must cancel, total costs may reflect this change.
If this new number of tour participants fails to meet the necessary minimum for a planned event or activity, The Switzerland Experience reserves the right to propose alternatives or, in certain cases, to be specified in the booking confirmation form, cancel the tour.
In the event of such a cancellation, The Switzerland Experience will assume most external provider cancellation fees, unless otherwise specified in the booking confirmation form.
The Switzerland Experience tour participants assume full responsible for their own insurance coverage. The Switzerland Experience recommends coverage for medical expenses, personal accident, baggage loss, theft or damage, and curtailment or cancellation of your trip.
9. Cancellation by The Switzerland Experience
The Switzerland Experience may cancel a tour if the deposit or the final payment rate is not paid as per conditions specified in the booking confirmation form. In such cases, the cancellation costs follow the Terms & Conditions noted above (please see 7).
In the event of natural catastrophes and unavoidable circumstances that might interrupt or restrict the expected itinerary, The Switzerland Experience reserves the right to alter or cancel tour obligations. In such instances, The Switzerland Experience will reimburse payments for hotels and related tour expenses whenever possible.
The Switzerland Experience is not liable for personal injury due to a client’s negligence. We are also not liable for loss, damage or theft of personal effects such as cash, valuables, computers, phones, cameras, or the loss, theft, damage, or misuse of checks and credit cards.
The Switzerland Experience will reimburse for the value of contracted, unfulfilled services or additional relevant expenditures only if The Switzerland Experience is unable to provide a suitable replacement, or in the event of natural catastrophes and unavoidable circumstances that might interrupt or restrict the expected itinerary.
The Switzerland Experience must fulfil the proposed tour’s Terms & Conditions as specified in the booking confirmation form, but is not liable for any activity not specified in the tour program that the client may choose to undertake independently.
11. Privacy notice
In agreeing to these Terms & Conditions, you consent to the collection and storage of any personal information The Switzerland Experience may obtain in the course of preparing a tour offer by email, telephone, or other communication channels. The Switzerland Experience does not share this information with anyone not working directly with The Switzerland Experience on tour preparations and execution.
12. Applicable law
Swiss law governs the legal relationship between the client and The Switzerland Experience and any claims against The Switzerland Experience, will fall under the jurisdiction of Solothurn, Switzerland.
